Why September 30 still matters for SoFlo production owners
Friday, September 11, 2026 puts South Florida production companies, creator shops, and post houses almost three weeks out from the Regular Deadline for the inaugural ARTWEEK™ // Miami Media Festival™. Live on the organizer’s controlling terms page — miamiartweek.org/media-festival — the fee rung through September 30, 2026 is $19. After that date the published official ladder steps up. That is an owner action window, not an after-the-fact wrap.
The Festival is presented by Miami Art Week™ and organized by Miami Art Week, LLC. Submissions run through FilmFreeway at filmfreeway.com/MiamiMediaFestival. A late-August PR Newswire release for curated arteNXT™ / photoMIAMI® exhibitions also invites filmmakers and moving-image creators into this Official Miami Art Week™ media program — useful context that the Media Festival sits inside the broader Art Week platform, not as a standalone indie circuit you invent yourself.
If you run a Miami-Dade, Broward, or Palm Beach shop — branded content, hybrid docs, fashion films, music videos, micro-narrative for clients, generative-AI experiments with a real creative lead — treat September 30 as the cheap, calendar-aligned cutoff to get Official Selection consideration onto your Q4 Art Week stack. Do not confuse this package with other South Florida film calendars; those are separate products with separate rules.

Each Film requires a separate submission and fee. Fees are non-refundable and non-transferable except where law requires otherwise. Payment does not guarantee selection, screening, nomination, or an award.
Soft-flag — verify at checkout: The live FilmFreeway Miami Media Festival listing currently marks Regular Deadline — September 30, 2026 as current, with category fees Standard $19 / Gold Members $17 for both Micro-Short and Short. The same listing shows an Extended Deadline — October 20, 2026 at Standard $39 / Gold $35, a Notification Date — November 13, 2026, and an Event Date — December 5, 2026. It does not presently surface the Terms’ October 1–31 $29 rung or an October 31 “Final” label in the Dates & Deadlines block.
The Terms themselves resolve the conflict: if eligibility or participation language conflicts, the Official Film Submission Terms & Conditions control; the submission fee and deadline displayed by FilmFreeway at the time the submission is completed govern that transaction. Owner instruction: budget against the $19 through September 30 official Regular window, re-open FilmFreeway before you pay after October 1, and do not invent a merged ladder. Categories, completion date, and no premiere requirement
Two competition lengths, runtimes including credits, per Terms and FilmFreeway:
- Micro-Short Film: 5:00 minutes or less
- Short Film: more than 5:00 and no more than 20:00 minutes
Films must have been completed on or after January 1, 2024. Eligible forms explicitly include narrative, documentary/nonfiction, animation, experimental and art film, music, performance, fashion, technology, AI/generative media, hybrid, and other moving-image storytelling. Worldwide entrants are welcome. Entrants must be 18+ or have parental/guardian authorization in the form the Organizer requires.
There is no premiere-status requirement. Previously screened or publicly available films remain eligible. That is a practical win for SoFlo owner catalogs: a client commercial cut-down, a festival short that already played elsewhere, or a branded piece that lived on social can still be in play if it clears length, completion date, rights, and disclosure rules.
Language: dialogue primarily in a language other than English needs English subtitles. English captions are strongly encouraged; selected filmmakers may be required to deliver caption/subtitle files for exhibition.
Generative AI reporting rule for entrants — owner submit checklist
This section is about entrant obligations when you submit a Film. It is not a house disclosure about how this Gazette article was produced.
Per Section 3 of the Official Terms (and mirrored on FilmFreeway Rules & Terms):
- Films that use generative AI assistance, and fully AI-generated films, are eligible.
- Entrants must report material use of generative AI, identify the principal tools or technologies, and briefly describe their role in the creative process.
- Disclosure can cover writing/development, image or video generation, animation, voice, music/sound, VFX, editing, post, or other generative processes.
- Failure to report material generative-AI use may mean disqualification or removal from award consideration.
- The Entrant remains responsible for all rights, licenses, permissions, and clearances, including for AI-generated materials and materials made with generative-AI tools.
Owner playbook before you hit Submit:
- Inventory every generative tool that materially shaped the cut (script helpers, image/video generators, voice clones, music models, automated edit assists that changed creative outcome).
- Write a short, accurate tools-and-role note in the FilmFreeway fields — not marketing fluff.
- Confirm you can defend music, likeness, stock, and model-output clearances if programmers ask.
- Do not hide hybrid pipelines. The Festival’s own copy welcomes AI-created work alongside traditional production when disclosure is honest.
Awards currently anticipated on the Terms page include the AI Creative Achievement Award and the Audience Choice Award. Separate award submissions are not required. FilmFreeway’s Awards block also lists Grand Jury Award — Best Short Film, Grand Jury Award — Best Micro-Short Film, and an ARTWEEK™ Creative Innovation Award, and states Awards Presented: 5. Soft-flag: treat the Terms’ “currently anticipates” list as the conservative Organizer baseline, and treat the FilmFreeway award menu as the live listing programmers may use — the Festival reserves the right to add, combine, rename, or withhold awards.
Where Official Selection can land: O Cinema South Beach and Frost excerpts
If selected, the Entrant grants Miami Art Week, LLC a non-exclusive, royalty-free right to publicly exhibit the Film in connection with the 2026 Festival. No screening or exhibition fee is payable for open-call submissions.

- Select award-winning and/or featured Films may receive additional recognition during Festival programming at the Phillip and Patricia Frost Museum of Science (1101 Biscayne Blvd, Miami, FL 33132 on FilmFreeway).
- Films will not be screened in their entirety at Frost as part of this program.
- Reasonable excerpts, clips, or highlights may be presented for Festival presentations, discussions, recognition, and awards.
Official Selection — ARTWEEK™ // Miami Media Festival™ 2026 does not guarantee a particular screening time, venue, award eligibility, or presentation format. Dates, blocks, and venues are subject to reasonable change. Selected filmmakers must deliver an exhibition-quality digital master plus requested captions, stills, poster, trailer, and credits by Festival deadlines, and may need to execute a separate Festival Participation Agreement. Works in progress may be submitted if they are fully completed and exhibition-ready by delivery deadlines.
For SoFlo owners: O Cinema South Beach is a real Miami Beach public room during Art Week traffic. Frost is an excerpt/recognition lane for featured or award work — plan client invites and sponsor hospitality around O Cinema first, and treat Frost as upside if you land that track.
How SoFlo production owners should use Official Selection
Think like a shop owner, not only like a director with a laurel PNG.
Portfolio and reel proof. An Official Selection line tied to Miami Art Week™ is calendar language clients already recognize in December. Put it on the case-study page, the leave-behind PDF, and the pitch deck slide that answers “where has this work been seen?”
Client and sponsor proof. If the piece was made for a brand, agency, tourism board, or nonprofit, Official Selection is third-party validation you can forward without rewriting the creative brief. Pair it with stills and a 15-second trailer clip once promotional rights kick in under the Terms’ selected-film license.
Art Week calendar stacking. Miami Art Week™ exhibition programming for curated arteNXT™ / photoMIAMI® is framed around early December gallery activity in organizer communications (see the PR Newswire context piece). FilmFreeway’s Media Festival Event Date currently reads December 5, 2026. Soft-flag: that is a listing date, not a full published day-by-day screening grid — confirm final O Cinema blocks with the Organizer after selection. Owner move: hold a soft hold on crew and client calendars for early December Miami Beach evenings, then lock once Official Selection materials and Participation Agreement arrive.
Rights and ownership stay with you. Submission does not transfer copyright. You grant exhibition and promotional permissions described in the Terms only. That matters when your shop’s master agreement with a client already limits festival use — clear festival exhibition with the rights holder before you submit.
Do not oversell outcomes. Terms are explicit: submission, Official Selection, screening, or an award does not guarantee distribution, representation, financing, employment, press, or commercial success. Sell the proof and the room — not invented pipeline miracles.

- Choose MICRO-SHORT FILM (<5 minutes) or SHORT FILM (> 5 minutes but < 20 minutes) to match runtime including credits.
- Confirm completion date ≥ January 1, 2024, prepare English subs if needed, and complete the generative-AI tools-and-role report if material AI tools were used.
- Pay the fee shown at checkout for the active deadline rung; save the confirmation.

Owner action map between now and September 30
This week (Sep 11–14). Pick the strongest eligible cut in your catalog. Check runtime with credits. Confirm rights holder sign-off for festival exhibition. Draft the generative-AI tools-and-role paragraph if the pipeline used generative tools.
Next week (Sep 15–21). Finish English subtitles/captions if required. Export a clean review file. Align synopsis, poster/key art, and stills so you are not scrambling if selected. Decide whether Micro-Short or Short is the honest category — do not pad or trim into the wrong bucket after the fact.
Final Regular week (Sep 22–30). Submit on FilmFreeway early enough for upload and payment latency. Prefer the $19 Regular window over waiting for October pricing. Email hello@miamiartweek.org only for genuine Terms/checkout conflicts — not for “will we get in?” speculation.
After September 30. If you miss Regular, re-verify both the official Terms fee ladder and the live FilmFreeway deadlines/fees before paying.
